Rentals

Rent without ever promising the same vehicle twice

A couple books a motorhome for a week in August: the app says what is free, prices the season, keeps the cleaning between two rentals, has the departure and the return signed, and puts what goes beyond the contract on the same invoice.

What the module does

A rental follows one record, from the booking to the invoice, and the fleet is never rented twice.

  • Book by category

The customer books a category on dates; the vehicle is assigned later, by hand or the first free one. Never more rentals than vehicles in the category.

  • The price by season

Each day at its season’s rate, a minimum duration per season, the extras per day or per rental.

  • A signed departure and return

The vehicle’s condition, its mileage and its fuel signed at departure and at return; the extra kilometres and the late days billed on their own.

  • The cleaning between two rentals

The turnaround time booked on the vehicle’s planning after each return: the next rental waits for it.

  • The deposit, never a sale

Held with its reference, then released or kept; a deposit kept is recorded as a payment of the invoice.

  • Late returns chased

A rental not back on time turns late, opens on an alert, and the app chases the person who follows it.

Not there yet

  • An advance at booking tied to the rental: it is invoiced apart, in the invoices.
  • Extras counted against a stock, three bike racks for instance: an extra is a line at its price.
  • A rental picked up at one site and returned at the other.
  • Moving a rental by dragging it on the planning: it moves from its record.

Screen by screen

The screens come from the example app of a leisure vehicle dealer, on made up data. In your app, they carry your words, your categories and your rates.

Front desk, rental staff

Book, never more than the fleet

A customer asks for a 4 berth motorhome for a week: the app says what is still free in each category on those dates, and refuses one booking too many.

  • Availability over a period: for each category, how many vehicles are still free, and “Book” that opens the rental on those dates.
  • An option holds its place until its deadline, then lapses on its own; a confirmed rental waits for its vehicle.
  • The vehicle assigned by hand or the first free one, swappable until departure, never rented twice on the same days, cleaning included.
  • The lists of the day: departures, returns, late, options, to assign, to invoice, deposits to settle.

Front desk, vehicle preparation

Departure, return, invoice

The vehicle leaves on a signed report, with its mileage and fuel, the deposit held; it comes back on another signed report, and what goes beyond the contract enters the same invoice.

  • No departure without a signed report and the deposit held when the category asks for one.
  • At return, the kilometres over the allowance and the late days become lines; damage, cleaning or fuel are added as charges.
  • A late rental opens on a red alert: the planned return, and how late it is.
  • The rental’s invoice in one click, each line billed once.

Rental manager, management

The fleet, its rates and its occupancy

The categories and their vehicles, the rates by season with their minimum duration, and what each vehicle rented over the period.

  • Each category with its deposit, its turnaround time between two rentals and your own fields, such as berths.
  • A base rate and dated seasons, each with its price per day and its minimum duration; the price is computed day by day.
  • The vehicles of the rental fleet, each with its planning: a stay in the workshop or a winter lay up takes it out of what is free.
  • Each vehicle’s occupancy and revenue on the dashboard.

The trades that use it

The same module, with each trade’s categories, rates and words.

  • Leisure vehicle dealers

The rental fleet beside the sales: the season’s motorhomes, their rates, the departure and the return signed. The dealers’ page tells this desk.

  • Your trade

An equipment hire firm, a van, bike or boat hire: the same screens, with your categories and your rates.
