Quotes and invoices

From the quote to the paid invoice, with nothing typed twice

The quote is typed in lines, goes out by mail, and is invoiced in one act once signed. Invoices are numbered without a gap, corrected by a credit note, and the app tells what is left to pay and what is late.

What the module does

Four parts that hold together: the quote, the invoice, the payment, and the rules the law sets.

  • Quotes

The customer picked from your file, the lines with quantity, price, discount and VAT, totals that follow, a validity date. Draft, sent, accepted or refused.

  • Invoices in one act

An accepted quote becomes its invoice in one click, its lines and customer taken along. A job, a delivery or several orders of one customer are invoiced the same way.

  • Payments

A payment is recorded on its invoice: amount, date, method, reference. Paid in parts or not, what is left to pay is always right, and an invoice past due turns late by itself.

  • The rules of the invoice

Numbers follow each other without a gap, an issued invoice is never edited and is corrected by a credit note. Deposits have their invoices, internal documents their own series, with no VAT.

Not there yet

  • Refunding a credit note: it stays available against another invoice of the customer.
  • A payments page, to spread one payment over several invoices at once: each payment is recorded from its invoice.
  • Picking a deposit to deduct on screen: it is deducted when the invoice comes from an order or a delivery.

Screen by screen

The screens come from the example app of a heating and plumbing firm, and the last invoice from that of a leisure vehicle dealer, on made up data. In your app, they carry your words, your prices and your mentions.

Office, sales staff, business owners

Write a quote, and follow it to the signature

A clean quote in a few minutes, sent from the app, and followed until the customer answers.

  • The customer picked from the file fills in their name, address and mail; the quote keeps the address of the day.
  • Lines are typed, reordered and removed, the totals before tax, VAT and with tax follow each figure.
  • The quote as a PDF in your colors, with your legal details, sent by mail or printed.
  • A sent quote with no answer is followed up, and only an accepted quote is invoiced.

Office, accounting

Invoice right, and know what is left to pay

Invoices nobody types again, numbered as the law asks, and what is left to pay on each.

  • The number is taken at issue, without a gap, even when two people issue at the same moment.
  • At issue, the app prices the lines again: an issued invoice always adds up, and is never edited.
  • The due date follows the customer’s terms, an invoice past due turns late, and the PDF carries the VAT per rate and the late payment mentions.
  • A payment in one click on the invoice, in one go or in parts; a mistake is corrected by a credit note, numbered too.
  • Each list filtered by status, kind and period, and exported to a spreadsheet.

Sales office

Invoices cut to your trade

The same rules, and the invoice your trade expects.

  • Lines grouped by kind, a subtotal each: at a dealer, the vehicle, the accessories, the services and the fees.
  • The deposit invoice due on receipt, then deducted from the final invoice.
  • The internal document with no VAT, on its own series: a used vehicle’s preparation billed to the sales side.
  • A delivery and its invoice in one act: if a step fails, nothing is written, and no number is lost.

The trades that use it

The same module, with the lines, prices and mentions of each trade.

  • Heating and plumbing firms

The quote to replace a boiler or a heat pump, the invoice of each job, the follow up of quotes with no answer.

  • Leisure vehicle dealers

The quote in typed lines, the order’s deposit invoice, the delivery invoice grouped by kind, the deposit deducted and the trade-in counted.

    At the office →
  • Your trade

A workshop billing its repairs, a laundry its business customers by the month: the same rules, with your lines.

With the other modules

The invoice reads what the other modules already hold, with nothing typed twice.

  • Customers and deals

The customer, their contact and the deal come from the file, their payment terms too.

    See the module →
  • Work orders and workshop

A finished job is invoiced per payer: the customer and the insurer each get their invoice, the warranty lines go to the warranty claim.

  • Stock and parts

A line names a stock item, and the issued invoice takes it out of stock.
